EZ-CARE2 Childcare Management Software - Five EZ Keys to Success when Communicating with Parents
You can unlock barriers and save time when trying to reach parents by using your EZ-CARE2 database. With our quick and EZ keys you can pass along important information in a timely manner.

Communicate via your regularly scheduled invoices. When you generate an invoice just add text in the memo box labeled "Message on the bottom of invoice". You may want to mention how you calculate your late fees, or let parents know when your center will be closed for a holiday. Ensure parents are receiving up-to- the-minute information about their balance due by using our Click-to-Pay invoicing option. The convenience of emailed invoices and the acceptance of secure online payments increases collection rates and reduces late fees for parents - it's a win-win situation.

It's EZ to generate personalized letters using our merge feature, Select-A-Merge (best for large groups) or Insta Merge (individuals). It is great for notifying parents who their new teacher is, or about their need to update their medical form by a particular date.

Need to let some or all of your parents know about a last minute change of plans? It's simple to deliver that message that the bus from the zoo is stuck in traffic and their children will be delayed for 15 minutes. With EZ-CARE2's automated messaging system One Call Now, you can quickly reach each phone number or email address supplied by your parents, and even confirm those who have been reached. Your parents are thrilled, they know the exact location of their children and they have an extra 15 minutes to run a quick errand.

Do you need to send a quick email to a specific parent? Go to the appropriate family tab and click on their email address. With a default email program already configured for Windows, your pre-addressed email communication is ready for your text. Just hit Send and it's on its way.

Using the Time Clock module? It's EZ to communicate during the sign in process with an RSVP (Are you attending the Family picnic?), an interactive message where you can ask for and collect responses (Pizza or tofu for lunch today?) or with information just necessary for viewing (Don't forget to bring boots for our trip to the nature center). Go to Time Clock Administration, Chapter 4 and set up your personalized communication. It is even possible to deliver the messages to a select family or group of families, report on the results and repeat the message for multiple days for those parents who just never seem to pay attention the first time.
